Facility Rental Waiver and Policy Agreement

This agreement outlines the policies, responsibilities, and liabilities associated with renting facilities at The Fort Museum of the North-West Mounted Police & First Nations Interpretive Centre. By signing below, the renter agrees to all terms listed. 1. Rental Policies * Booking Deposit * A 25% booking deposit is required to secure your rental. * This deposit is refundable if the event is cancelled more than 48 hours before the scheduled start time. * Cancellations within 48 hours are non-refundable. Damage/Cleaning Deposit * A $100 refundable deposit is required for all rentals. * The deposit will be returned after inspection if the space is left clean and undamaged. 2. Renter Responsibilities The renter agrees to: * Set up and take down tables and chairs unless other arrangements are made. * Leave the space tidy, including removing: *Garbage *Personal belongings *Decorations *Food items * Wipe down tables, counters, and surfaces used during the event. * Respect all heritage structures and artifacts. * Avoid nails, tacks, glue, tape, or adhesives on any museum walls or structures. * Ensure no open flames, smoking, or illegal substances are present on museum property. * Supervise children at all times. * Use only the areas included in the rental agreement. 3. Museum Responsibilities The Fort Museum will: *Provide access to the rented facility and washrooms (seasonal). * Provide tables and chairs where applicable. * Provide final cleaning, washroom checks, and post-event inspection. * Ensure museum staff are available for support before and after the rental. 4. Liability Waiver The renter acknowledges and agrees that: * The Fort Museum is not liable for injury, loss, or damage to persons or personal property during the rental period. * The renter assumes full responsibility for: * Any damage to facilities, structures, washrooms, furniture, or artifacts * Any damage caused by guests, vendors, or children in attendance * The renter agrees to indemnify and hold harmless The Fort Museum and its staff from all claims arising from use of the facility. 5. Emergency Procedures * All exits must remain unobstructed. * In the case of emergency evacuation, renters and guests must follow staff direction. * Open flames, fireworks, or pyrotechnics are strictly prohibited.
